ISOform Sync — Privacy Policy

ISOform Sync is a private, internal application built and operated by Leerform LLC ("Leerform"). It connects to Leerform's own QuickBooks Online company file. It is not distributed, sold, or made available to any other business, and no third party connects their QuickBooks account to it.

What the application reads

ISOform Sync uses the QuickBooks Online accounting API to read the following records from Leerform's own company file:

  • Estimates — number, amount, date, status, and the customer message field
  • Invoices — number, amount, date, balance, status, and the customer message field
  • Payments — date and the invoice each payment is applied to
  • Company name, used once to confirm which company the application is connected to

The application is read-only

ISOform Sync cannot create, change, or delete anything in QuickBooks. It contains no code capable of writing to QuickBooks, only of querying it. Authorization is requested solely so that these queries can be made.

How the information is used

Records that carry a Leerform job reference in the customer message field are copied into Leerform's internal job-management system, so that estimate totals, invoice totals, and paid or unpaid status appear alongside the job they belong to. Records without a job reference are ignored.

Where the information is stored

Copied records are stored in Leerform's own Google Workspace account, in Google Sheets and Google Apps Script, under Leerform's administrative control. Access is limited to Leerform employees whose work requires it.

What is not done with the information

  • It is not sold, rented, or licensed to anyone.
  • It is not shared with advertisers, data brokers, or analytics providers.
  • It is not shared with any third party except where required by law.
  • It is not used to train machine-learning or artificial-intelligence models.

Authorization and access tokens

The access and refresh tokens issued by Intuit are stored in the properties store of Leerform's Google Apps Script project and are never written into source code, email, or any external service. Authorization can be withdrawn at any time from within QuickBooks Online under Apps → Manage. Withdrawing it stops all further reading immediately.

How long information is kept

Copied financial records are retained in Leerform's job records for as long as the underlying job records are retained, consistent with Leerform's ordinary business and tax record-keeping. Access tokens are deleted when authorization is withdrawn.

Security

All communication with QuickBooks Online uses encrypted HTTPS connections. The Google Workspace accounts holding the data require multi-factor authentication.
